Bookkeeping vs. accounting
The two get used interchangeably, but they're different jobs. Bookkeeping is the day-to-day recording of what actually happened, every sale, every expense, every bank transaction, kept accurate and up to date. Accounting is what happens next: using those records to prepare your accounts, file your tax returns, and tell you what the numbers actually mean.
Good accounting is only as good as the bookkeeping underneath it. Messy records don't just slow down your year-end, they mean any advice you get along the way is built on guesswork.
What good bookkeeping actually prevents
Late or messy bookkeeping doesn't just create more work later, it creates real costs. A VAT-registered business with disorganised records risks filing an inaccurate return, which HMRC can penalise even when the error wasn't deliberate. A director working from a shoebox of receipts in January usually ends up paying more tax than necessary, because allowable expenses get missed when nobody's tracking them as they happen.
There's also a cash flow angle that's easy to underrate: if you don't know your numbers in real time, you don't know how much you can actually afford to draw from the business, pay a supplier early, or take on new work, until it's too late to change course.
Which software you use matters less than actually keeping it current. We work across the common cloud platforms, Xero, QuickBooks and FreeAgent, and we'll set you up on whichever suits your business rather than insisting on one, the discipline of updating it matters far more than the brand name on the login screen.

Common questions
Bookkeeping, answered.
If you're VAT-registered, yes, Making Tax Digital already requires digital records and MTD-compatible software. HMRC is extending this to Income Tax Self Assessment for higher earners from 2026, so it's coming for more businesses either way.
Ideally monthly. Waiting until year end turns bookkeeping into archaeology, reconstructing what a transaction was for months after the fact, when you'd have known instantly at the time.
Not a disaster, but it doesn't scale, and if you're VAT-registered it isn't compliant with Making Tax Digital on its own. We can move you across to proper software without losing your history.
Yes, we regularly pick up bookkeeping mid-year, whether you're switching from another provider or moving off spreadsheets. We'll review what's already there and bring it up to date before setting up an ongoing routine.
