Who we are

What we collect

This website collects personal data in two ways: what you choose to give us through the contact form, and, only if you agree to it, anonymised usage analytics.

• Contact form: your name, email address, phone number (if you give one), business type, and whatever you write in the message field, on our Contact page.
• Analytics: if you click "Accept" on the cookie banner, we use Google Analytics 4 to understand how visitors use this site (pages viewed, general location and device type). Nothing loads and no cookies are set unless you accept, you can decline, and you can change your mind at any time via the "Cookie preferences" link in the footer.
• We don't run any advertising or cross-site tracking, and we don't collect anything beyond the above.

How we use it

We use the information you submit through the contact form solely to respond to your enquiry, and, if you go on to become a client, to have the initial conversations needed to set up that relationship. Once you're a client, any further use of your personal data for delivering accountancy services is covered separately by our engagement terms, not by this website notice.

If you accept analytics, Google Analytics data is used only to understand which pages are useful and how visitors find the site, we don't use it to identify individuals, and we don't combine it with the contact form data.

Our legal basis

We rely on legitimate interest to respond to an enquiry you've chosen to send us. If that enquiry turns into a client relationship, our ongoing use of your data shifts to what's necessary to perform that contract and to meet our legal obligations as an accountancy practice (for example, HMRC and Companies House record-keeping requirements). Analytics only runs on your specific, opt-in consent, given via the cookie banner, and never before you give it.

Who we share it with

Enquiries submitted through our contact form are processed by Formspree, Inc., a third-party form-handling service that receives your submission and forwards it to us by email. Formspree is based in the United States, so submitting the form involves a transfer of your data outside the UK to enable that processing. Formspree's own privacy practices are described at formspree.io/legal/privacy-policy.

If you accept analytics, usage data is processed by Google Ireland Limited (Google Analytics 4), which may involve a transfer of data outside the UK to Google's wider infrastructure. Google's own privacy practices are described at policies.google.com/privacy. We do not sell, rent, or otherwise share your data with any other third party.

How long we keep it

Enquiry data that doesn't turn into a client relationship is kept only for as long as needed to deal with your enquiry, and then deleted. If you become a client, your records are kept for the periods required by UK tax and accountancy regulation, which is generally at least five years after the relevant tax year. Analytics data, if you've accepted it, is retained by Google Analytics under its own standard retention settings, and stops being collected the moment you decline or withdraw consent.

Your rights

Under UK data protection law, you have the right to ask us for a copy of the personal data we hold about you, to have it corrected if it's wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. To exercise any of these, email info@reysaccountants.co.uk. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), if you think we've handled your data incorrectly. For analytics specifically, you can withdraw consent at any time via the "Cookie preferences" link in the footer of any page.

Changes to this notice

If what this website collects or how we use it changes, we'll update this page and the date at the top of it.
